What is the Meaning of a DOT Physical?

A DOT physical is a comprehensive medical examination performed by a licensed medical examiner who has been certified by the Federal Motor Carrier Safety Administration (FMCSA). The goal of this physical examination is to determine if a driver is physically and mentally fit to operate a commercial vehicle. Some of the factors that are assessed during a DOT physical include blood pressure, hearing, vision, and can include urine tests for drugs and alcohol if done for pre-employment.

What is a Non DOT Physical?

On the other hand, a non DOT physical is not regulated by the FMCSA and typically only covers basic health and wellness exams. Non-DOT physicals are often requested by employers outside the transportation industry, such as healthcare, manufacturing, or law enforcement.

Do Physicals Get Reported to the FMCSA Clearinghouse?

The FMCSA Clearinghouse is a secure online database that tracks commercial drivers’ drug and alcohol program violations, including test results, refusals, and other drug and alcohol violations. DOT physicals are not reported to the FMCSA Clearinghouse. This means that any positive drug or alcohol tests that was done along with a DOT physical will be reported to the FMCSA Clearinghouse, which could result in the driver losing their commercial driver’s license (CDL) if they don’t perform the SAP and Return to Duty Testing Program.

Are Physicals Reported to the Medical Review Officer (MRO)?

No, both DOT and non-DOT physicals will not automatically be reported to the Medical Review Officer (MRO).  The MRO is responsible for reviewing and verifying drug test results and determining if there is a legitimate medical reason for the positive test result. Some employers add a level of Medical Review to their physicals, however, this is their personal choice and not part of the requirements of performing a physical.

The Benefits of an Electronic Physical: Why it’s Time to Say Goodbye to Paper Physicals

For many years, paper physicals have been the norm for many industries that require medical clearances for their employees and contractors. However, times are changing, and electronic physicals are becoming more and more popular. Employers and employees alike are discovering the many benefits of digital health assessments. Below we’ll highlight the advantages of electronic physicals over paper versions, and why it’s time to make the switch.

1. Improved accuracy and speed

One of the biggest drawbacks of paper physicals is errors due to illegible handwriting or inadequate record-keeping practices. With electronic physicals, on the other hand, employers can enjoy greater accuracy and faster turnaround times. By digitizing medical clearance information, physicians can reduce manual data entry and minimize human error. Furthermore, electronic platforms reduce the amount of paperwork that must be completed, saved, and managed, streamlining the process for risk, HR and transportation companies and owner-operators alike.

2. Cost-effective solution

The traditional process of conducting a physical examination involves hiring a healthcare professional to complete the assessment, which can be costly and time-consuming. Electronic physicals offer a viable alternative that’s more affordable. Electronic physicals also save the significant added burden of chasing paper records when the physician made an error, omitted information or simply didn’t send the paperwork.  With Workplace Screening Intelligence, when an electronic physical is utilized it forces the physician to complete each portion of the physical or it won’t allow the physician to move on.  Once physical is complete it is automatically reported saving time chasing paper or remediation of errors.

3. Consistent Healthcare Management

Standardization of the documentation process is made possible with electronic physicals. HR, risk and transportation companies now have the ability to capture and track all examination details from every contractor or employee consistently. This helps ensure that all employees and contractors are evaluated and cleared in the same manner across all locations. The digitalised format can allow for easy data sharing between departments and locations within the company limiting variations in the process, this provides transparency and uniformity to the entire evaluation process.

4. Convenient Access

Electronic physicals are accessible anywhere with an internet connection. The employer can order a physical for their employees and applicants from their office, home or vacation spot.
